Event Booking Site/App
Budget: $250 – $750 USD
I run a 4 day event once or twice a year (the website is nailcamp org). For over 10 years I've used other methods to get registrations, track information and payments, etc. I collect all the info and have to organize and sort in a spreadsheet separately, but it is an imperfect system. People are constantly emailing me during the months leading up to the event to see what they have paid, their balance etc. Some even show up at the event thinking they have registered and I have to scramble to get them a bed in a cabin and even bedding if they have flown in.
I need an app/website add on into mine (which is made in wordpress) that will do the following:
Allow people to register for the event - which means filling out a form and paying for the deposit or full amount.
Allow people create a LOGIN
From this login they should be able to to see if they have Registered for the event
If they have NOT registered, have the ability to "email me when the event is 80% filled" so if they have not registered and paid for their deposit, they can get notified when it's almost sold out so they know they need to hurry if they want in.
If paid for the event in full or only paid a deposit
Make payments toward their balance. A countdown of when their money is due.
See if they have signed up and paid for any classes at the event
See if they have rented bedding (its at a camp) and give them the option to rent bedding if they haven't (usually they choose this at registration, some add it on later)
Add or change anything on their registration form, such as: their list of requested room mates, any dietary restrictions or even T-shirt size for the event. Here is a sample form from the last event: www.emailmeform.com/builder/form/uN0JoD4zOeSbep7
We offer classes through out the weekend. I have them listed on my website by day and time slot. I would like to have a page for each day and time slot and be able to list the classes there and people can choose and pay for the one they want. Many people forget which classes they have signed up for. So in their login area, I would like it to have a "my class schedule" section and list the classes they have chosen (with "change class" after it), and "select a class" with a link to the page that lists the classes if they have not yet chosen their class for that time slot. For example. Their schedule would be an important part of the app for the event so people know their schedule and it would look like this:
Friday Afternoon Workshop 1pm-6pm
Saturday Morning 3 hour Workshop 9am-12pm
Saturday Afternoon 1 hour Class 1:30pm
Saturday Afternoon 1 hour Class 3:00pm
Saturday Afternoon 1 hour Class 4:30pm
Sunday Afternoon 3 hour Workshop 1:30pm-4:30pm
Sunday Afternoon 1 hour Class
Monday 3-8 Hour Workshop. 9am
Class fees are actually paid directly to the educator. So I would like when someone chooses a class and pays for it, for their information (name and email) to be sent to the educator, and the educator's paypal to receive payment, not me. Some classes are free and will not require payment, so the payment information for classes needs to be optional for me to put in for each class.
I would like to be able to add and edit all the information as needed - such as the classes etc just like I do my website now. I just need the basic functionality to work for their backend and for me to process credit cards using paypal for registration.
For me, I would just like to be able to create reports that will print a spreadsheet showing everyone's information from what they have entered. (if they have paid, if they have a balance, their roommates, classes chosen, etc).
Sometimes I need a simple report, like just Names and T-shirt sizes. So I'd like to be able to choose what is on the report.
