Build out needed
• 4 locations to start with the option to add more
• 15 users tied to a location, role-based permissions
• Superuser, admin user, regular user location scoped
• 12 inventory Items to start (only use Item Name, Optional price) need way to add new items that may come down the road.
• Track all transaction (In/out), via form entry. Or mobile app Tracked who did when did where to client name if client or truck if put on truck we do not do location to location transfer. Need to have a monthly inventory count.
PO System
• Auto-generated PO Number8 digit in length starting with year first then 4 digits after (Example PO-20251234)
• Date, User, Location auto captured
• Based on user only certain clients appear in drop down.
• Before items are chosen need a radio button for Billable or Non- Billable.
• If billable automatically show a spot to enter an amount typed in. next to the qty.
• Item picker with an area for 5 Items if needed if only 1 item is needed that is all to show with quantities, box that when selected for qty brings up number picker like calculator.
• After item(s) are input, the next item is a drop down that has that users’ clients only that they pick from. Once selected the follow radio button choice is Warehouse or Direct Ship. If warehouse is picked go to end of form to submit. If Direct ship is chosen the address needs to auto populate if availed. If not need to manually enter street address city, state, zip. Then have a Calander pop up to select due date. Only needed if direct ship. Then the following information total Door Count cart or pov route. This info if not auto pulled needs to be entered and push back to the client list and update.
• Then submit once submitted the po is in a locked pending state. At this time the form needs to be converted to a log based professional output and email to an email address using SendGrid. Once the email is received the po needs to be entered or placed once order is place need to update po as submitted and date it was completed with an estimated arrival date. Then at that point needs to be emailed back to the original submitter with the information. At this time the po will then show on those locations open pos and in inventory as pending. After po is received at a client that was direct ship user needs to be able to count the shipment and enter in the total received and close the PO once closed it will update the log with the date the client names the item(s) and amounts and the po is closed and it shows the life cycle of the PO.
• This will be the same for all incoming inventory weather the warehouse or property.
• Dashboard.
• Admin dash board need s to have the ability to look all clients in all locations and zero down to item by item detail. That shows everything. And the amounts received when and ordered by who. Also needs to beadle to view all locations as a region to provide regional numbers this will be the only time all locations inventory is combined. Needs to have a look up of closed Pos all data with all filters for all eq transactions.
Locations only can see their location and closed pos within a 30-day rolling window. Has the ability to look up clients assign to that location that’s it. Responsible for monthly count.
The Clients need to be able to be uploaded in bulk if need to or can be entered in manually by user only admin can mark as inactive. The information on the client is Client Name, Address, City, St, Zip Total Door Count if a cart or Pov route. followed by Pay range which is input by admin only and cannot be changed. The pay rate is two different numbers. and an active or inactive status box with a date selector to show when status changed. Only admin can update the status.
