1. Organization Overview

2. Purpose of This RFQ
Heart of Florida United Way is seeking quotes from qualified grant writing consultants or firms to provide comprehensive grant writing, research, and strategic support over a six-month engagement. The selected vendor will serve as the lead grant writing partner, supporting multiple submissions and related strategic activities.
This RFQ is intended to identify a vendor with demonstrated experience managing a high volume of grant applications while collaborating closely with internal staff.
3. Engagement Period
Duration: Six (6) months
Anticipated Start Date: March 1, 2026
4. Scope of Services
The selected vendor will be expected to deliver the following services during the engagement period:
A. Lead Grant Writing Support
B. Monthly Grant Strategy Meetings
C. Ongoing Grant Research and Vetting
D. Development of Funder Talking Points Aligned with Organizational Messaging
E. Compliance Reviews
5. Deliverables
Expected deliverables may include:
• Completed grant applications ready for submission
• Grant submission timelines and tracking support
• Vetted grant opportunity summaries
• Written funder-specific talking points
• Written feedback and recommendations from compliance reviews
Vendors should describe how deliverables will be provided and tracked.
6. Vendor Qualifications
Proposals should include:
• Brief overview of the consultant or firm
• Relevant experience with comparable grant volumes and scope
• Experience in applicable funding areas or sectors (if relevant)
• Brief bios of staff assigned to this engagement
• Three (3) references from similar past projects
• Examples of recent grant success (optional)
7. Pricing and Fee Structure
Vendors must submit a detailed quote that includes:
• Total cost for the six-month engagement
• Hourly rates (if applicable)
• Flat-fee or bundled pricing (if applicable)
• Key assumptions, exclusions, or dependencies
• Proposed payment schedule
• Proposed value-added or complimentary services offered as part of this engagement that would strengthen grant outcomes or organizational capacity.
