Advanced Follow-up System for Google Sheets
This document outlines the requirements for building an advanced follow-up system in Google Sheets. The goal is to create a dynamic, automated tool for managing sales inquiries, tracking caller performance, and providing key reports.
1. Core System: Main Enquiry Sheet
The central sheet will contain all inquiry data. Key columns to include are:
* Enquiry ID and Client Details (Name, Contact).
* Status Columns: Allotted Caller, Last Follow-up Date/Time, Next Follow-up Date/Time, and the Current Status of the enquiry.
* Follow-up Remarks: A field to display the most recent follow-up note.
2. Automated Dashboards & Views
The system needs dedicated sheets that automatically filter and display relevant inquiries:
* Today's Follow-ups: Shows all inquiries with a next follow-up date of today.
* Tomorrow's Follow-ups: Displays all inquiries scheduled for tomorrow.
* Next 7 Days: Lists all inquiries with a follow-up date within the next seven days.
3. Follow-up History & Remarks
To maintain a clean main sheet, a separate Follow-up Log sheet will be used to record every interaction.
* Follow-up Log Sheet: This sheet will chronologically store all follow-up details, including the Enquiry ID, date, time, and specific remarks.
* Data Integration: A formula will be used on the main sheet to automatically pull and display the most recent remark from this log, keeping the primary view updated without clutter.
4. Performance & Reporting
Dashboards will be created to provide insights into team activities and performance. These dashboards will use formulas to automatically analyze data from the main and log sheets.
* Hourly Call Reports: Separate reports showing the number of calls attempted and the number of successful calls made each hour for the current day.
* Caller Performance: Metrics to track the number of inquiries handled by each caller and other key performance indicators (KPIs).
