Online database for mail management
We need to manage physical mails (letters and packages) for our clients and report them online.
In short:
1/ We receive letters and packages every day for our clients
2/ We picture them (outside picture)
3/ Each incoming mail is marked with a unique ID (label)
4/ We allocate each picture to a mailing box online
5/ Client of the mailing box is informed by email that a new mail is arrived for him
6/ Client can instruct us through his online account with the following options (see images with charts) :
a/ Scan content (after scan shipment is still be available for forwarding)
b/ Forward -> select forwarder
• Priority mail postal service (no tracking number)
• Priority mail postal service (with tracking number)
• FedEx (with tracking number)
• UPS (with tracking number)
• DHL (with tracking number)
• Consolidate (combine multiple shipments into a single one)
• Other/Comments: ____________
Insert destination address + phone number of receiver + (for packages content description and value for custom declaration)
c/ Shred-discard shipment (no more option available after this option has been selected)
7/ Our team receive the information through the platform about the open tasks and client to receive a confirmation once a task or a group of tasks has been performed for him.
From a computer point of view, we need to manage the above-mentioned actions electronically:
• A secured portal access for each client linked to his online account and to stripe payment system.
• A secured portal access for our admin team and an easy access to the bucket system for pictures (drag & drop), data and of course add new clients easily.
• Maintain a database of mailboxes with numbers, names, addresses, emails, phone numbers, updated payment status from stripe and copies of documents for each client
• A bucket to receive all pictures and data (size, weight, address) before they are allocated, directly from iphones or scan systems
• An easy way to allocate pictures/data to each mailbox
• A validation system to inform clients about incoming mails (max 1 mail per day per client even if the same client received multiple shipments)
• A monthly report showing all shipments in storage for more than 15 days
• A generated report showing all clients in the database (between 10 and 3’000)
• All structure needs to be user-friendly and should not be based on IT constraints.
