Virtual Assistant – Kyoto Travel & Content Business
I’m a Kyoto-based content creator and private tour host who shares the hidden side of Japan with an international audience. My mission is to help visitors experience a more authentic Japan through local culture, meaningful stories, and carefully curated experiences.
I’m looking for a proactive Virtual Assistant who loves travel, enjoys communicating with people, and can help turn inquiries into memorable guest experiences.
What You’ll Do
Guest Communication
* Respond to inquiries through WhatsApp and Instagram DMs
* Answer common questions about Kyoto and our services
* Follow up with potential guests who have shown interest
* Help move inquiries toward confirmed bookings
Itinerary Planning
* Research activities, restaurants, cultural experiences, and hidden local spots in Kyoto, Nara, and nearby areas
* Create clear, well-organized itineraries in Google Docs
* Include transportation details, opening hours, reservation links, and practical travel tips
* Suggest experiences that match each guest’s interests and travel style
Lead & Business Management
* Maintain and update our lead tracking spreadsheet
* Record guest preferences, budgets, travel dates, and communication history
* Keep follow-up schedules organized
* Help improve our systems and workflows as we grow
Content Support
* Organize content ideas and posting schedules
* Make simple Canva edits when needed
* Repurpose Instagram Reels for TikTok and YouTube Shorts
* Ensure captions, hashtags, and links are correctly published across platforms
What Success Looks Like
* Guest inquiries receive a friendly response within 4 business hours
* Leads are accurately tracked and updated daily
* Itineraries are clear, personalized, and easy for guests to follow
* Content is consistently reposted across platforms
* Potential guests feel welcomed, informed, and excited about their trip
Ideal Candidate
* Excellent written English
* Strong organizational skills and attention to detail
* Comfortable using Instagram, WhatsApp, Google Docs, Google Sheets, and Canva
* Able to work independently and solve problems without constant supervision
* Interest in Japanese culture, travel, food, and local experiences
* Experience in customer service, hospitality, tourism, or virtual assistance is a plus
Trial Period
We’ll begin with a paid one-week trial. If we’re a good fit, this can grow into a long-term role with increasing responsibilities as the business expands.
