We’re a real estate business operating in New Zealand looking for an experienced GoHighLevel developer to build a fully custom CRM. This system will manage our buyer and vendor pipelines, automate follow-up using our NZ phone numbers, automatically match buyers to new listings scraped from major NZ portals, and run a complete post-settlement relationship sequence — asking for reviews, checking in on clients, and keeping us front of mind for referrals for years to come.

Off-market matching — match vendors to buyers before a listing goes public

Post-Settlement Relationship Sequence

This is a core feature, not an afterthought. We put people first — we want every client to feel genuinely cared about long after the deal is done. The sequence below must be built into the CRM and triggered automatically from the settlement date field.

D+1
Settlement day message
Warm, personal congratulations via SMS/email. No ask — just genuine celebration. Personalised with their name and property address.
D+3
First night check-in
Casual text asking how the first few nights have been. Human tone — feels like a friend checking in, not a business.
D+7
Experience & review request
Ask how the overall experience was. If positive, send Google / RateMyAgent review link. If neutral or negative, route to agent for personal follow-up — never auto-send a review link to an unhappy client.
D+30
One month in
Check in on how they’re settling into the new place. Any issues? Love anything about the neighbourhood? Builds genuine rapport.
D+90
Three month check-in
Light touch — how are things going? Soft referral ask: “If you know anyone thinking of buying or selling, we’d love to help them too.”
6 months
Half year milestone
Personal message acknowledging 6 months in their home. Share a relevant market update for their suburb. Keeps us front of mind.
1 year
First anniversary
Celebrate one year in their home. Share a current CV/value estimate for their property. Referral ask. Invite them to reach out any time.
Ongoing
Annual check-ins (years 2, 3, 4…)
Yearly anniversary message, market update for their suburb, and a warm referral nudge. Keeps the relationship alive indefinitely.

Review routing logic
After D+7 experience check: if positive → auto-send Google and RateMyAgent review links
If neutral/negative → flag to agent immediately, remove from review sequence, trigger personal outreach task
Track review status per contact (requested / completed / declined)
Second review nudge at D+14 if no review yet — one nudge only, never spam

Automated Follow-Up & Communication
SMS, email, and call sequences using our NZ phone numbers
Personalised outreach drawing on profile fields (name, interests, situation)
Automated follow-up triggered by pipeline stage and timeframe
Re-engagement sequences for leads inactive beyond their stated timeframe
All post-settlement sequences as detailed above

Buyer–Listing Matching Engine

realestate.co.nz
lodge.co.nz
lugtons.co.nz
trademe.co.nz
harcourts.co.nz

Monitor for new listings matching buyer criteria (beds, baths, area, price)

Log matched listings against the buyer’s contact record in GHL
Buyer feedback loop — “Did this one interest you? Why not?” — updates their criteria
Manual one-click blast — send a new listing to all matching buyers instantly
Off-market matching — surface buyer matches before a listing goes live
Agent override and manual matching capability
