Project Title: Development of Secure Digital Documentation & Workflow Management System
Project Overview:
We are looking for an experienced developer/team to build a secure digital documentation solution for internal reporting and workflow management. The solution will support around 20 users, with 15 submitting reports and 5 reviewing/approving/commenting. The target launch date is 1st January 2026, with development completion one month prior.
Key Requirements:
Digital Forms & Workflow: Design and deployment of digital forms with submission, review, partial approval, and rejection workflows. Rejected submissions or segments should return to the sender for rectification.
AI-Assisted Processing: Implement AI functionalities to assist in form processing, detect anomalies in photos (e.g., blockages), and provide intelligent prompts (e.g., “Have you checked this area?”).
Secure User Interface: Easy-to-use interface for report submission, review, and approval. Integration with existing staff identification system.
Reports & Dashboards:
Officer submissions: morning, night, and audit reports
Incident reports and other document types (transport issues, noise pollution, pass violations, mantrap, safelock assistance, medical assistance, etc.)
Dashboard for document overview, chronological incidents, and statistics (who created, when resolved, who was involved, etc.)
Ability to generate summary reports, including extracted data from entry passes, welfare cards, CCTV footage, and photos (3–4 per incident).
Document Bank & Categories: Support around 15–20 report categories, 80% templated and 20% scenario-specific notes.
Extract reports from existing Visitor Management System
Migrate existing serialized reports (3,000 PDFs; 3 years) and generate historical analysis.
Cloud storage solution - propose most secured hosting and how to ensure security
Additional Features:
AI-based anomaly detection in photos and CCTV
Key audit support (scan tag/key/welfare card and extract information)
Generate end-of-day summary reports
Statistical metrics and chronological tracking
Deliverables:
Fully functional secure documentation system with AI-assisted features
Dashboard with statistics and document management
Migration of existing reports
Integration with existing staff identification system (via card reader)
Documentation and training for users
