Document Reception and Registration Automation

Description:
This project aims to develop a proof of concept (PoC) to measure the capabilities of Bonita BPM in managing documents within an organization. The PoC will cover from the initial receipt of the document to its final processing and result storage, using Bonita BPM to automate and optimize each step of the process.
Important: This is a proof of concept with a maximum duration of 2 weeks. If the PoC is successful, a large-scale project will follow. We want to evaluate Bonita BPM's capabilities for integration with other systems' APIs, the functioning of automated or system tasks, and the ability to send and receive information and documents to and from Bonita BPM. We also aim to assess using Bonita BPM as a process engine while building the frontend in another technology, and the possibility of modifying Bonita's forms.
The necessary APIs for integration are already built and outside the freelancer's scope. The workflow in Bonita BPM will be basic, focusing on the reception, registration, assignment, processing, and storage of documents.
Project Details:
Document Receipt:
Input: A document, either physical or digital, arrives at the parts office.
Action: The parts office manager scans the physical document (if applicable) and uploads it to the Bonita BPM system.
Data: Data such as document type, sender, initial recipient, receipt date, etc., are recorded.
Document Registration:
Input: Document uploaded to Bonita BPM.
Action: Bonita BPM registers the document in the core document management system via an API, along with the associated data. The core document management system returns detailed processing information and a unique key.
Data: The document information is recorded in the core system, and the data returned by the core system is ingested by Bonita BPM for further processing.
Document Assignment:
Input: Registered document.
Action: Bonita BPM assigns the task to the initial recipient within the platform.
Data: Document details and new task notification in Bonita BPM.
Document Reassignment:
Input: Document assigned to the initial recipient.
Action: The recipient can reassign the document to another user within Bonita BPM if they believe they are not the appropriate responsible party or cannot handle it.
Data: Bonita BPM maintains the reassignment history and assigns the task to the new recipient.
Note: This step can repeat until someone decides to process the document.
Document Processing:
Input: Document assigned to the responsible party for processing.
Action: The user processes the document, performing the necessary actions.
Data: The action taken to process the document is recorded.
Result Storage:
Input: Processed document.
Action: Bonita BPM stores the result of the processing in another system via an API.
Data: Details on how the document was processed are stored in the information management system.
Technical Requirements:
Bonita BPM: The implementation and configuration of the process must be carried out in Bonita BPM.
API Integration: Integration with the core document management system via API to register and store information.
Scanning and Digitization: Configuration of tools for scanning and digitizing physical documents.
Reassignment History: The system must maintain a detailed history of all reassignments made.
Notifications: Implementation of notifications within Bonita BPM to alert users of new tasks assigned.
Form Modification: Ability to modify and customize Bonita BPM forms according to project needs.
Independent Frontend: Possibility of using Bonita BPM as a process engine while the frontend is developed in another technology.
