Siena is a private-label commercial flooring distributor serving the architecture, design, and dealer community. We move product through a specifier-driven sales model and run a lean, modern back office. We’re at an inflection point — tightening our financial operations and preparing the books for the company’s next chapter — and we want a bookkeeper who takes pride in clean, defensible numbers.

The Role

This is a hands-on ledger role, not a strategy seat — but it’s a consequential one. You own the day-to-day accuracy of the books and the monthly close, working directly with the COO/interim CFO and our Georgia-based operations team. Because Siena is positioning for a transaction, the quality, timeliness, and audit-readiness of your work matters more here than it would at most shops of our size.

What You’ll Do
• Maintain the general ledger in QuickBooks Online — accurate, current, and properly categorized.
• Record and reconcile accounts payable and accounts receivable, coordinating AP entry with the Georgia operations team and AR activity flowing through our payment processor.
• Run reconciliations: bank accounts, credit cards, and clearing/processor accounts, monthly and without prompting.
• Support twice-monthly AP payment runs (15th and 30th), ACH-first, within our documented approval matrix.
• Own monthly close prep — accruals, prepaids, deposit and liability accounts, and a tie-out package the CFO can review.
• Keep customer deposit liabilities correctly stated and segregated from revenue (this matters a great deal to us).
• Track inventory/COGS entries and per-job cost detail in coordination with operations.
• Produce clean exports and reports that feed our internal reporting engine and management dashboards.
• Help keep documentation and segregation-of-duties controls intact as our processes mature.
• Support a future migration to a flooring-industry ERP (FloorZap) by keeping source data tidy and well-structured.
What You Bring
• 3+ years of full-cycle bookkeeping, ideally for a distribution, wholesale, or inventory-carrying business.
• Strong QuickBooks Online proficiency; comfort with bank/processor reconciliations and month-end close.
• A working understanding of accrual accounting, deferred revenue / customer deposits, and COGS.
• Precision, discretion, and follow-through — you catch the thing that’s off and you flag it.
• Comfort operating independently in a remote, document-driven environment with clear approval rules.
