US& Canadian Art Sales Bookkeeping & Disbursements
Budget: $25 – $50 USD
I’m looking for a detail-oriented bookkeeper who can take full ownership of three day-to-day needs in my art business: disbursing funds to artists, tracking every artwork sale, and keeping invoices and receipts properly filed inside Wave. I’m already comfortable with Wave’s dashboard and reports, so you’ll be working there from day one; however, if you think a switch to QuickBooks, Xero, or FreshBooks would unlock clear benefits, I’m open to hearing why and how you’d manage the migration.
Right now there is no formal protocol for how and when funds are released to artists, galleries, or suppliers. Part of your first assignment will be to design that workflow—from approval checkpoints through to the final remittance—so payouts happen on schedule and are easy to audit later.
Deliverables I expect in our first month:
• A written disbursement procedure we can follow and reference.
• Current-year sales, invoice, and receipt data entered and reconciled in Wave.
• A simple monthly report that shows cash in, cash out, and profit per artwork.
