I am reaching out to discuss a development project for our intruder alarm installation and maintenance company based in Middlesbrough. Our aim is to streamline our current practices and improve efficiency in generating quotation and specification documents.
Currently, our workflow involves multiple instances of rewriting specifications, resulting in redundant efforts. Here's a breakdown of our existing process:
1. A surveyor visits the site and creates a handwritten proposed specification. This initial specification is prepared for the first time.
2. The surveyor's notes are then passed on to our administrative team, who type up the proposed specification and send it to the client. This leads to a duplication of effort, as the same specification is written out again.
3. If the quotation is accepted, an engineer is dispatched to the site to perform the installation. The engineer manually writes down all the installed equipment as part of their commissioning paperwork. Consequently, the specification is rewritten for the third time.
4. The commissioning paperwork is brought back to the office, and our administrative team creates an as-fitted specification based on this information. This creates a fourth instance of rewriting the same specification.
5. The commissioning engineer then reviews the as-fitted specification before it is sent to the client. This completes the current process.
Considering the inefficiencies of our current approach, we envision the following streamlined process:
1. The surveyor visits the site and fills in an Excel sheet with relevant information. This Excel sheet will automatically generate a PDF quotation that can be sent to both the client and the installation engineer.
2. The installation/commissioning engineer will be able to edit this Excel sheet as the job progresses, creating the final as-fitted specification, which can be sent directly to the client.
3. The original Excel sheet can be modified at any time, enabling immediate updates to the as-fitted specification whenever additional work is carried out.
To facilitate this process, we require the following information to be included in the Excel sheet:
• Design date
• Installation date (linked to different standards from different years)
• System grade (selectable from a dropdown list with multiple options)
• Control panel type and location (selectable from a dropdown list of different makes and models). The engineer's commissioning sheet should include space to fill in electrical readings, which will not need to be transferred to the as-fitted specification.
• Zone descriptions, locations, and device types.
Additionally, we need the ability to edit the above information as manufacturers regularly release new technology. We can provide you with our current template specifications and reading sheets for reference.
