Smartsheet for Maintenance Scheduling
Budget: $250 – $750 AUD
Scope of Work: Smartsheet Development for Heavy Vehicle / Mobile Plant Preventative Maintenance Scheduling
Objective
We are seeking a skilled freelancer to design and build a Smartsheet solution that will enable efficient scheduling and tracking of preventative maintenance for heavy vehicles and mobile plant machinery. The solution must help predict upcoming services based on machine usage hours and manage defect backlog for inclusion in planned downtime. 2 weeks schedule and a further 2 weeks draft projection.
Key Requirements
✅ Daily Machine Hours Input
The sheet must allow for easy daily updates of machine usage hours (similar to entering vehicle odometer readings).
Input can be manual or via form entry (if possible).
✅ Automated Service Prediction
The Smartsheet must automatically calculate and highlight when the next service is due based on end-of-day machine hours. Predict and schedule the upcoming services for a 2 week period in advance, and project the follow 2 weeks.
The system should reference a preset list of service intervals (e.g. every 250, 500, 1000 hours) and identify the type of service required at each interval (e.g. minor, major, component change).
The schedule must dynamically adjust the predicted due date based on actual hours inputted, allowing services to be forecasted approximately 2 weeks in advance.
✅ Defects & Backlog Management
Ability to log and track machine defects.
Option to flag backlog work items for inclusion in the next scheduled downtime or service event.
✅ Main Dashboard & Reporting
A main dashboard page that displays service status in graphical charts (e.g. bar or pie charts) showing service accuracy and completion rates for onsite services.
Visual indicators for machines approaching or overdue for service.
Ability to generate or view summary reports for supervisors.
✅ Flexibility & Ease of Use
The Smartsheet must be user-friendly for daily updates.
Designed so additional machines can be added easily without major rework.
Deliverables
A fully functional Smartsheet meeting the requirements above.
Brief user guide or notes on how to maintain/update the Smartsheet (e.g. adding new machines, updating service intervals, adjusting dashboards).
Preferred Skills
Experience building advanced Smartsheet solutions (formulas, automation, dashboards, charts).
Familiarity with preventative maintenance and asset management (desirable but not essential).
Additional Info
We will provide the list of machines, current hours, and service interval requirements.
Example service intervals: 250H minor, 500H standard, 1000H major, etc.
