Job Summary:

We are looking for a highly organized and detail-oriented Property Management Virtual Assistant (PMVA) to support our property management operations. You will be responsible for assisting clients with managing property listings, processing work orders, and maintaining accurate financial records. Your role will also include tenant communication, appointment scheduling, and generating status reports.

Key Responsibilities:
Customer Support and Communication

-Provide phone and email support to tenants and property owners.
-Actively listen to customer queries and resolve issues with empathy and professionalism.
-Manage tenant inquiries related to property listings, rent payments, and maintenance issues.

Property Management Tasks:

-Assist with listing and online management of properties, ensuring accurate and up-to-date information.
-Book appointments and manage the property manager’s calendar.
-Screen potential tenants by verifying documents and conducting background checks.
-Draft and process lease agreements, eviction notices, move-in and move-out documents.


Financial Tasks:

-Create and process work orders for repairs and maintenance.
-Generate bills, invoices, and payment notifications.
-Automate the billing process and ensure timely payments.
-Reconcile bank accounts and balance financial statements.
-File receipts and maintain accurate records of financial transactions.


Reporting and Documentation:

-Prepare and update status reports for property listings and tenant management.
-Track maintenance requests and tenant issues, providing timely updates.
-Manage online property databases and ensure data accuracy.

Software Proficiency:

-Effectively use property management software.
-Utilize task management tools such as Asana and Trello for project coordination.


Requirements:
-Previous experience as a Virtual Assistant ideally within property management is preferred.
-Proficiency in property management software (e.g., AppFolio, Buildium, Rent Manager).
-Strong communication and interpersonal skills.
-High attention to detail and ability to multitask.
-Experience with financial reconciliation and generating invoices.
-Ability to work independently in a remote setting.
-Familiarity with online collaboration tools (e.g., Google Workspace, Microsoft Office).
-Strong organizational and problem-solving skills.
