HVAC Inspection Report Template

I need a modern, polished, easy-to-use template that my HVAC commissioning technicians can complete during every site visit and system test. The document must be in Microsoft excel format and export cleanly to PDF so clients receive a professional-looking report without extra formatting work on our end.

Core content I want captured:

• Plant Equipment – include clear fields for equipment specifications and current operational status.
• Testing & Balancing – testing and balancing pages required by industry standards, a dedicated area for the technician’s readings, notes, and any corrective actions taken or required.
Snag report - A section on each page that the HVAC engineer can add comments and they will collate on a separate worksheet for the client to print. I would like to be able to share this file as a link, whereby the client can view and print the snag report only. no other sheets.
One drive integration - It must be able to be worked on my multiple engineers working in different locations. Eg, engineer remotely and engineer on site.

Brand colours and logo space should be built in, with control page and smart headers and footers that auto-populate page numbers and project details. Tables, check boxes, and drop-downs are fine as long as they stay printer-friendly. Would like a cover page to add picture of the

When you deliver, I need the original excel file plus the ready-to-send PDF. A quick screen share or short video showing how to update any locked fields would be a bonus so my office staff can tweak the template later without your help.

I will share current excel examples for both air and water systems that are being used in the industry with the successful bidder. This will already have most of the work done for you. It will give a clear understanding of the specific pages that are required and the necessary mathematical formula for industry calculations.

I expect these are fairly simple templates to create for an expert in MS excel.

I am particularly interested in:
- the design and modernizing the report format whilst keeping it professional/technical.
- ease of use for the onsite engineer, the template should make the HVAC commissioning process easier.
