Project: Automated CT Department Scheduling Workbook

Overview: I manage a CT department and need an efficient Excel workbook to manage biweekly schedules, track PTO, and assign daily roles—all in a calendar-style layout. I want to automate as much as possible to save time.

Key Features Needed:

1. Calendar View (Monthly)



Traditional calendar format (Sun–Sat) with visible day numbers (enlarged & color-background)

Staff shifts shown in individual cells, ordered by start time

Open shifts highlighted yellow

Text left-aligned, clean layout (no grid lines inside boxes)

Support for multiple future months


2. Biweekly Assignment Tabs



Separate tabs per pay period (next is June 8–21)

Assign staff to roles using only color (no text labels):

Red = ED (2/day, never assign Jimmy; if he's working, he becomes Lead)

Green = Procedures (1/day)

Blue = Toshiba (1/day, only after other roles filled)

Gray = Night shift (no role assignment)


No one starting after 10am should be assigned Toshiba/Procedures unless it’s the weekend


3. PTO Integration



PTO entered on a dedicated sheet

Once approved:

The employee’s shift becomes an open shift (yellow)

Assignment tabs reflect this as well


Picked-up shifts turn blue and stay filled, even if duplicate PTO is entered

Ability to show PTO initials at the top of the day on the calendar


4. Staff Management



Master list of staff with names, shift times, start hours

Easy to update for new hires or departures

Changes should reflect in future schedules automatically
