Plan Tucson Anniversary Celebration

I am organizing a 60th-wedding-anniversary celebration for 40–50 guests in Tucson, AZ. The vision is an elegant yet lively evening in a dedicated event hall, complete with an open bar, a plated sit-down dinner, and a live band playing favorites from the ’50s, ’60s, and ’70s so everyone can both listen and dance.

Timing
The date is flexible—any evening from late February through early March—so I need venue options that match that window, ideally on a Friday or Saturday for maximum guest convenience.

Scope of work
• Source and secure an event hall in Tucson that is available within the date range, offers adequate parking and accessibility, and allows outside vendors if needed.
• Coordinate a plated dinner menu (three courses minimum) plus full open-bar service; handle staffing requirements for bartenders and servers.
• Book a live band experienced with music from the targeted decades and arrange basic stage, lighting, and sound equipment.
• Provide guidance on room layout, dance-floor placement, timeline, and any necessary rentals (tables, linens, décor), ensuring smooth flow between dinner and dancing.
• Negotiate and track all vendor contracts, deposits, and deadlines; present me with clear cost breakdowns and payment schedules.

Deliverables
1. A comparison sheet of at least three suitable halls with availability, pricing, and key pros/cons.
2. Two or more plated-dinner menu proposals including bar packages.
3. A confirmed live-band contract with set list overview and technical rider.
4. An event run-of-show and vendor contact list no later than two weeks before the party.
