Phone-Free Weekend Retreat Planning
Budget: $15 – $25 USD
I’m launching a series of phone-free, two-day weekend meetups that let people truly switch off and reset through nature, movement, and easygoing social time. The vision is simple: guests arrive within an hour of the city, slip their devices into a lockbox, and spend the next 48 hours hiking to scenic viewpoints, flowing through outdoor yoga, sharing guided meditations, tackling light team-building challenges, and winding down around a crackling campfire.
To make that happen smoothly, I need a detail-oriented retreat planner who can handle every logistic before, during, and after the event. Nature exploration is the clear priority, so our itinerary must highlight well-marked hiking trails and memorable vistas while still weaving in the physical elements—outdoor yoga, guided meditation, and relaxed team-building exercises.
Here’s what you’ll deliver:
• A shortlist (3–5 options) of parks, private campgrounds, or conservation areas no more than 60 minutes from the city, complete with permit requirements, amenities, and a negotiated day-use or overnight rate.
• A finalized booking at the chosen site plus any necessary permits.
• A detailed, hour-by-hour itinerary covering hikes, yoga sessions, meditation spots, team-building blocks, campfire time, and quiet downtime.
• A contingency schedule and shelter plan that still feels restorative if the weather turns.
• Coordination of all rentals—tents, group cooking gear, portable toilets if needed—so attendees can arrive with just a sleeping bag and personal items.
• A run sheet covering arrival set-up through Sunday pack-up, including volunteer roles and emergency contacts.
We’ll collaborate through Google Drive / Sheets for schedules, AllTrails or similar for route mapping, and a shared workspace (Slack, Trello, or your preferred tool) for real-time updates. If this first retreat runs flawlessly, there will be an ongoing series, so I’m looking for someone who enjoys refining a template into a repeatable, stress-free experience.
Proposed timeline: site shortlist within one week, final booking and draft itinerary in two, and all logistics locked down at least four weeks before the event date. If you have recent experience planning outdoor gatherings or wellness retreats, let’s get started—I’m ready to review your approach and start scouting right away.
