Corporate Networking Conference Planner
Budget: $5,000 – $10,000 USD
I’m putting together a professional networking conference for our company and need an experienced event planner to take the reins from concept to closing remarks. The gathering will welcome between 50 – 200 guests and will be held in a hotel ballroom, so familiarity with that type of venue is essential.
Here’s what I’m looking for:
• Source and secure an appropriate hotel ballroom, negotiating favorable room, catering, and A/V packages.
• Develop a detailed run-of-show, including check-in flow, keynote timing, breakout rotations, and networking blocks.
• Coordinate all vendors—catering, audiovisual, décor, signage, photography, and any branded swag—ensuring smooth load-in/out and on-site support.
• Set up an online registration system, manage RSVPs, and prepare name badges.
• Oversee on-site logistics on event day, acting as the single point of contact for staff, speakers, and venue managers.
• Provide a concise post-event report with attendee feedback and vendor reconciliations.
The focus is a seamless networking experience, so ambiance, sound levels, and traffic flow matter as much as agenda design. If you’ve previously executed hotel-based corporate or networking events, especially in the 50-200 guest range, I’d love to see examples. Let me know your proposed timeline, key milestones, and any tools or platforms you prefer (Eventbrite, Cvent, Trello, etc.). Looking forward to collaborating on a standout conference.
