Caloundra Rotax Fly-In Event Planning

Job ID: 40425485

Budget: $5,000 – $10,000 AUD

I’m organising a public Fly-in on 21 November at Caloundra on the Sunshine Coast and need an experienced hand to guide the full event-planning process from now through show day. This is essentially a car-show concept but for Light Sport Aircraft, so everything has to cater to pilots, ground exhibitors and visiting spectators alike.

My focus is on solid, professional event planning: locking down permits with the airport authority, mapping out aircraft parking and crowd flow, sourcing vendors, arranging insurance and safety compliance, scheduling demonstrations, and shaping a realistic run-sheet that keeps the day moving. If you also bring ideas for sponsorship or promo, great—we can weave those in—but the core brief is the planning framework that lets the rest fall into place.

You’ll work with me remotely at first, then be available for check-ins (video is fine) as milestones are hit, and finally deliver a detailed operational plan we can hand to the on-site team for execution during bump-in, the event day itself, and bump-out.

When you reply, please share past work that shows you’ve pulled off outdoor aviation, motorsport or similarly complex, safety-sensitive public events. That track record will be the key factor in shortlisting. We’ll kick off as soon as the right person is found and run continuously until the week of 21 November, so there’s plenty of scope to refine every detail.
