Seminar & Conference Event Management in Kuala Lumpur
Budget: $5,000 – $10,000 USD
I'm in need of a proficient event manager in the Klang Valley for my upcoming seminar to be held in June 2025. The event manager must attend the seminar physically. The focus will primarily be on planning and logistics.
Key Responsibilities:
1. Organize a two-day on-site seminar while adhering to budget constraints
a. Draft agenda. The two-day on-site seminar consists of eight talks, five discussion sessions, and a wrap-up session.
b. Send email invitations.
c. Manage participant follow-ups.
d. Assist with participant logistics (i.e., on-site registration).
e. Provide event management services for the two-day on-site seminar to ensure smooth operations by handling preparations before and after the two-day on-site seminar.
f. Disseminate the post-seminar survey and ensure that responses are collected on-site.
2. Record talks and discussions conducted during the two-day on-site seminar
a. Liaise with hotel staff on voice recordings.
b. Ensure smooth operations in voice recording of talks and discussions, while handling related preparations before and after the two-day on-site seminar.
c. Ensure that all equipment and materials for voice recording of talks and discussions are well prepared for the two-day on-site seminar.
3. Select a venue for the two-day on-site seminar according to the specifications
a. Ensure the venue is suitable for the two-day on-site seminar while considering constraints, including location (i.e., the Klang Valley), time (9:00am to 5:00pm), delivery mode (talks and discussions), the number of participants (90 persons), and the budget.
4. Ensure equipment and materials are well prepared during the two-day on-site seminar.
Ideal Skills & Experience:
- Proven experience in managing corporate events, particularly seminars and conferences with up to 100 attendees.
- Strong organizational and logistical planning skills.
- Excellent communication and negotiation skills for coordinating with venues and catering services.
- Ability to manage multiple tasks and maintain a calm demeanor under pressure.
