I’m hosting a 2-day academic conference in Switzerland for fewer than 50 participants and need an experienced on-site coordinator who can take full ownership of the day’s flow. Your role begins with setting up the registration desk—badges, programmes, lanyards, everything ready before the first delegate arrives—and continues through to the final closing note.
Once registration is under control, you’ll guide the opening session, introduce speakers, and keep every talk on schedule. During presentations you’ll moderate the Q&A, ensuring each speaker’s allotted time is respected while maintaining an engaging atmosphere.
Break management is key: I’ll rely on you to liaise with the hotel so coffee and lunch appear exactly when promised and are cleared away swiftly afterward. Between sessions, please arrange group photos and coordinate any short video interviews we may capture for promotional use.
At day’s end, I’d like succinct participant feedback to inform next year’s planning—feel free to recommend the most efficient method, digital or otherwise—and, if needed, deliver a brief closing remark on my behalf.
