1. Sales Department
A. Salespeople Role & Access
• Objective: Salespeople should have access to the sales functionality for their respective showrooms and be able to manage customer orders.
• Requirements:
• Each showroom salesperson should only have access to sales and inventory in their respective showroom.
• Salespeople can create orders and transfer order details to the workshop for product manufacturing.
• Salespeople should also be able to track product work status (e.g., “In Progress”, “Completed”).
• A Sales Supervisor must approve any modifications to sales orders or inventory.
B. CRM Functionality
• Objective: Salespeople should be able to manage leads and follow through with potential customers.
• Requirements:
• Salespeople should gather and track customer information through the CRM module.
• If a lead does not convert into a sale, they should be able to enter the reason for failure.
• Supervisor Approval is required for any CRM-related changes.
2. Manufacturing Department
A. Workshop Supervisors’ Role & Workflow
• Objective: Manage the production workflow in the two factories and ensure smooth communication with showrooms.
• Requirements:
• Workshop Supervisors will manage the production process in each of the two factories.
• Supervisors must be able to manage fleet schedules, production lines, and receive work orders from showrooms.
• Showrooms should be able to submit work orders for products they have sold.
• A Supervisor Approval is required for the confirmation of work orders and adjustments.
3. Purchasing Department
A. Purchasing Role & Vendor Orders
• Objective: Purchasing employees should handle purchase orders from vendors and manage deliveries.
• Requirements:
• Purchasers should be able to create purchase orders from approved vendors and deliver items to the corresponding warehouse (either a showroom or factory).
• Each showroom and factory will have a requesting portal to submit purchase requests. The requests will detail the items and quantities needed.
• The price of items should only be visible to the purchaser and not to the storekeepers or employees requesting items.
• Storekeepers (showroom employees or designated factory storekeepers) must confirm delivery of requested materials once items arrive.
