I will use google sheet where new leads comes in with customer name, email phone descriptoin of what they filled in website form etc.
I use four email address. One is gmail, and other three normal smtp/imap (cpanel based).
I need followups to take place.
From the below, email0 is going right now perfectly, i want someone to come in and solve the rest part within 24hours.
lead comes in a google sheet, including client name, their email, their wesite url, their detailed inquiry message they submitted in the form on website.
now, when new lead comes (new entry on google sheet), we need this to happen.
Email 0 > received email, acknowledging. Asking few hours, (by 9pm PST) I will be back and will reply… personal feels.
Email 1 > ready in draft .. i edit and send. What i sent is remembered by AI.
Email 0 and email 1 if goes from sender id 1
Email 2 is followup that contains exactly what is sent in email 1 (add a line like I already emailed from my other email id and thought to send from my this email id too so just in case it reaches you.)
Basically:
Email 0 goes instantly.(sent from senderid1)
Email 1 in draft, and goes when I manually do it. (sent from senderid1)
Wait 3hours
Email 2 goes if no reply to email 1 (sent from senderid2)
Wait 24hours
Email 3 is followup on email 1 (from sid1) if no reply on email1 or email2.
Wait 24hours
Email 4 is followup on email 2 (from sid2) if no reply on any previous emails.
Wait 24hours
Email 5 is followup but as new email just lke email1 (from sid3) if no reply on any previous emails.
Wait 24hours
Email 6 is followup on email 3 from sid1 (Here Day5 is complete.)
Wait 36hours
Email 7 is followup but as new email just lke email1 (from sid4) if no reply on any previous emails.
(This is day 7)

we need to check number from google sheet and verify if its on whatsapp or not.
if phone number is also on whatsapp, copy phone in formated way in a column whatsapp number.
if not, notify me and my staff to find whatsapp number of client. I or my team will find and update on whatsapp number column
if client has replied to either text message, stop automations.
if client has replied to whatsapp message, stop automations.
if client replied to any emails, stop automations.
there will be column in google sheet, we wil turn that back to active from paused, automation starts gain. basically sometimes client might have replied an auto reply or vacation emails.
