Full Migration from Email Octopus to Zoho Campaigns (Designmodo + AdButler | Production-Critical)
Budget: $30 – $250 USD
1. Background
We currently send commercial newsletters using the following stable production stack:
Designmodo → AdButler → Email Octopus
This setup is revenue-safe, technically stable, and serves as the reference standard.
A strategic decision has been made to fully retire Email Octopus and move 100% of email sending to Zoho Campaigns.
Previous attempts to use Zoho Campaigns failed due to:
– HTML rendering issues
– AdButler conflicts
– list inflation and data architecture problems
– unstable test sending
This project is execution-only.
No research, no experimentation, no partial migrations.
2. Objective (Non-Negotiable)
Deliver a production-ready Zoho Campaigns setup that:
• Uses HTML built in Designmodo
• Correctly inserts AdButler ad units
• Does not duplicate or break ads
• Renders correctly in Outlook, Gmail, Apple Mail
• Replaces Email Octopus completely
Email Octopus must be removable without any loss of functionality.
3. Current Stable Baseline (Reference Standard)
Designmodo → AdButler → Email Octopus is the current production setup and must be treated as the benchmark.
• HTML loads without modification
• AdButler ads insert correctly
• No ad duplication
• No HTML breakage
• Stable sending
• Correct rendering in Outlook, Gmail, Apple Mail
• Clean unsubscribe and bounce handling
Zoho Campaigns must replicate this behavior 1:1 before Email Octopus is retired.
4. Scope of Work
4.1 Zoho Campaigns Full Reset & Cleanup
Contractor must:
• Fully reset Zoho Campaigns (lists, segments, workflows, rules)
• Remove all legacy configurations
• Ensure no historical logic affects new campaigns
Deliverable: Clean Zoho Campaigns environment, ready for rebuild
4.2 Correct Data Architecture (Mandatory)
Implement correct structure:
• Zoho CRM is the single source of truth
• Clear separation between:
– Leads
– Contacts
– Subscribers
• Correct CRM → Campaigns sync
• No artificial list inflation
• No duplicate subscribers
• Unsubscribes sync correctly across systems
Deliverable:
– Documented data flow
– Verified sync with test contacts
4.3 Designmodo HTML Compatibility
Ensure that HTML exported from Designmodo:
• Uploads without errors
• Saves correctly (Save / Save & Next)
• Sends test emails successfully
• Is not altered or injected with unwanted markup
Deliverable:
– Successful test sends using Designmodo HTML
4.4 AdButler Integration Fix (Critical)
Zoho Campaigns must:
• Insert AdButler ad units correctly
• Never duplicate ads
• Never break layout
• Preserve ad rotation and tracking
Ad behavior must match Email Octopus 1:1.
Deliverable:
– Verified ad rendering in test and live sends
4.5 Cross-Client Rendering Validation
Emails must render correctly in:
• Outlook (Windows desktop)
• Gmail (web + mobile)
• Apple Mail
Deliverable:
– Screenshot proof or live test confirmation
5. Testing & Cut-Over Process
Phase 1 — Parallel Testing
• Same HTML
• Same AdButler setup
• Sent via Zoho Campaigns
• Compared against Email Octopus output
Phase 2 — Acceptance
Once Zoho output matches baseline:
• Email Octopus sending is disabled
• Zoho Campaigns becomes the only sender
6. Acceptance Criteria (Strict)
Project is considered complete only if:
✓ Zoho Campaigns sends Designmodo HTML without errors
✓ AdButler ads display correctly with no duplication
✓ Emails render correctly in all required clients
✓ Unsubscribes and bounces work correctly
✓ Email Octopus can be fully retired
Any failure = project not accepted.
7. Out of Scope (Explicit)
❌ No ESP comparisons
❌ No “Zoho limitations” explanations
❌ No redesign of emails
❌ No partial migration
❌ No suggestion to keep Octopus
8. Contractor Requirements
• Proven experience with Zoho Campaigns
• Strong HTML email debugging skills
• Experience with third-party ad insertion in email
• Understanding of CRM → Campaigns data flows
9. Payment Terms
• Payment tied to acceptance criteria
• No payment for partial or non-functional delivery
• Fixes required until acceptance is achieved
10. Ownership
All configurations, fixes, and documentation become the property of the client.
