KDP Formatting & Cover Adaptation

Freelancer Scope of Work :
My non-fiction handbook is finished in a Word document and I’m ready to publish it on Amazon KDP in both paperback and eBook formats. I need someone who can take the raw file and turn it into professional, KDP-compliant assets.

Here’s the scope:

• Interior layout: Format all text, embed images/graphics, and set up any tables or charts so they flow cleanly in a 6 × 9 in. trim size. Headings, body copy, page numbers, TOC—everything should look polished and consistent.
• Cover adaptation: Adapt my existing front cover artwork to the same 6 × 9 in. dimensions, adding spine and back as per Amazon KDP, and make sure it meets KDP’s bleed and DPI requirements. {complete Amazon KDP paperback cover (front, spine and back cover)}.
• Digital conversion: Create a fully-validated EPUB (and/or KPF) that passes Kindle Previewer without errors, with images optimized and tables rendered correctly.
• Correct dimensions based on:
o Trim size (6" × 9")
o Number of pages
o Paper type (cream/white)

Interior layout
• Widow/orphan control
• Consistent paragraph spacing
• Running headers (if applicable)
• Proper page breaks
• Hyperlinked TOC for EPUB
These are standard professional expectations.

Formatting Review Process
The work shall be completed in three stages.
Stage 1
The freelancer shall submit the first formatted version.
The Client shall review the manuscript for proofreading, corrections, additions, deletions, restructuring, image replacement, table revisions. The Client shall provide consolidated comments.

Stage 2
The freelancer shall incorporate all comments and submit the revised formatted version.
The Client shall carry out final checking of formatting, page breaks, image placement, table layout, typography, consistency, and final modification if any, The Client shall submit the final list of corrections, if any.

Stage 3
The freelancer shall submit the final formatted files after incorporating all corrections. Any gross negligence occurring Format issue repeatedly shall be rectified unlimitedly.

Rectification of formatting-related issues reported by Amazon KDP during the first upload
No additional charges shall be payable for the above revisions.
Deliverables (compliant with Amazon KDP specifications.)
1. Print-ready PDF interior (6 × 9, CMYK, embedded fonts)
2. Paperback cover PDF (front, spine, back, with bleed)
3. Validated EPUB file for Kindle
4. A brief hand-off note listing fonts, styles, and any tips for future edits
5. Master Editable MS Word Source File(.docx) incorporating all approved revisions.

Acceptance criteria: all files must upload to KDP without warnings and display flawlessly in both the online previewer and the downloadable Kindle Previewer app.

All copyright, editable files, layouts and design files created under this assignment shall become the sole property of the Client. The freelancer shall retain no ownership or restriction over the delivered work and client shall have unrestricted ownership and rights to modify and reuse them in future editions.

Expected completion:
7 - 10 days after award

If you’ve produced similar non-fiction titles before and are comfortable with Word-to-EPUB workflows, InDesign, or equivalent tools, I’d love your help getting this book over the finish line quickly.

Preference will be given to freelancers who have successfully formatted and delivered at least 20 non-fiction Amazon KDP books and can demonstrate experience with books containing tables, graphics and structured layouts.

Future Work:
Upon successful completion of this assignment, the Client intends to engage the same freelancer for formatting subsequent handbooks, beginning with the next title on various subjects, subject to satisfactory performance and mutually agreed commercial terms.
