Power Platform & Azure Automations for Livestock Agency

We are a livestock agency seeking to automate three critical workflows in Microsoft 365 using Power Automate and Azure Document Intelligence (PAYG). The jobs are standalone but should be designed to work together.

Job 1 – Buying Information Resend:
- Trigger: Incoming Outlook email with subject keyword (e.g., “Buying Grid”).
- Process: Save attached PDF to OneDrive/SharePoint, apply branded wrapper, then resend to a client distribution list.
- Outputs:
- Branded PDF version sent to clients.
- Branded email template.
- Archive copy of the original saved to OneDrive/SharePoint.

Job 2 – Kill Sheet Data Extraction:
- Trigger: Staff flags an Outlook email.
- Process: Save attached PDF kill sheet → send to Azure Document Intelligence for data extraction → parse key fields (species, weight, grade, price, producer, ABN) → store in Excel or SharePoint List.
- Outputs:
- Excel/SharePoint table with extracted fields and timestamp.
- Error handling for failed extractions.

Job 3 – ABN Matching & Draft Email:
- Trigger: Same as Job 2 (flagged email).
- Process: Extract ABN → match against a master list (Excel/SharePoint). If matched, create a draft Outlook email to that client with the original attachment and a templated message. If no match, send to manual review.
- Outputs:
- Draft emails created in Outlook (not auto-sent).
- Lookup logic against master list.
- Error handling for no matches.

Additional Notes:
The buying sheets and kill sheets come from up to seven different suppliers, so the solution must accommodate varied data reading.

Deliverables Required:
1. Power Automate flows for each job.
2. Documentation of setup and any connections used.
3. Testing with sample files provided.

Acceptance Criteria:
1. Flows trigger correctly from Outlook as described.
2. Branded PDFs and emails render correctly.
3. At least 90% of fields extracted from kill sheets populate into Excel.
4. Draft emails generate correctly for ABN matches.
