Overview
I have a WordPress site that is ~85% complete. The design and most features are built, but the system is unstable. Stripe Elements integration is unreliable, QA/testing was never implemented, there’s no documentation, and parts of the customer dashboard and email system behave incorrectly.

I need a professional who can rescue, stabilize, and future-proof the entire site. This includes retrieving all custom code, organizing it properly, documenting everything, setting up full QA in QA Touch, fixing all forms and payments, stabilizing the customer dashboard, auditing email deliverability, and creating a daily test run system so we can track the site’s health over time.

This is a rescue + stabilization project — not a rebuild.



What’s Already Done (~85%)
• WordPress site designed and running on the front end.
• Gravity Forms powering two pricing plan forms (~5 steps each, <10 fields per step).
• Dropdowns connected to a single source of truth with ~1,500 state-specific product variables.
• Stripe Elements custom integration attempted but unstable.
• CRM (GoHighLevel) connected but limited by one-contact-per-email model.
• Customer dashboard exists but sometimes leaks backend views.



Outstanding Problems
• Stripe Elements payments unreliable, webhook flow inconsistent.
• Customer dashboard sometimes exposes WordPress backend screens.
• Emails cannot be traced properly (currently unclear routing, no logs).
• No QA system, so issues are only caught after they break production.
• No documentation of forms, custom code, or deployment processes.
• GHL limitation: cannot see multiple orders for same email contact.
• Forms may need redesign/cleanup for stability.
• General instability across the site — ~15% is missing but it’s the most critical infrastructure.



Scope of Work
1. Code Retrieval & Organization

• Locate all custom code (Stripe Elements, Gravity Forms logic, dashboard customizations).
• Extract and move into a proper must-use plugin or structured child theme.
• Create a Git repository owned by me. Commit all retrieved code and document where it was found.

2. Stripe Elements Stabilization

• Must use Stripe Elements only.
• Normalize form outputs and pass consistent metadata.
• Server-side only payment creation with idempotency.
• Webhook is the sole trigger for marking entries paid, CRM updates, and notifications.
• Ensure customer receipts and admin notifications include Stripe IDs.

3. Gravity Forms Audit & Redesign

• Audit both pricing plan forms.
• Redesign/restructure if needed for cleaner flow and better reliability.
• Validate all conditional logic.

4. Customer Dashboard Hardening

• Fix links so customers never see backend (wp-admin).
• Enforce capability checks.
• Remove admin bar for customer roles.
• Adjust caching so dashboard works only with current user data.

5. Email Logging & Deliverability

• Audit how emails are sent (currently unclear/Kinsta).
• Configure a proper transactional email provider (SendGrid, Postmark, SES, etc.).
• Enable logging of all customer/admin emails.
• Verify SPF/DKIM/DMARC and confirm inbox deliverability.

6. QA Touch Full Implementation

• Use QA Touch only (non-negotiable).
• Create a full-site QA suite (not limited to Stripe or forms).
• Forms (both plans, all steps/fields/logic).
• Payments (success, declines, retries, duplicates).
• Webhooks & CRM sync.
• Emails (customer/admin).
• Customer dashboard (access control, links, functionality).
• Login/logout.
• General site stability (core navigation, uptime).
• Organize into suites, cycles, and daily runs.
• Provide a smaller smoke-test subset for deploys.
• Run initial daily tests and hand off process for ongoing daily health checks.

7. GoHighLevel (GHL) Fixes

• Investigate workarounds for multiple orders from the same customer email. Options include Opportunities, Custom Objects, or structured external logging.
• Implement chosen solution and test end-to-end.

8. Documentation

• Write a system brief (forms, Stripe Elements, CRM sync, dashboard, email).
• Document plugin list with versions/purpose.
• Provide a changelog template and record your changes.
• Document deployment workflow (staging → QA Touch run → production).

9. Monitoring & Stabilization

• Enable error logging for all critical functions.
• Add Stripe/payment attempt logging.
• Configure uptime monitoring + daily canary test submissions.
• Deliver a site that is stable and trackable going forward.



Deliverables
• All custom code retrieved, moved to mu-plugin/child theme, and stored in Git repo.
• Stripe Elements integration fully stabilized.
• Gravity Forms cleaned up and reliable.
• Customer dashboard secured.
• Emails traceable with logging + deliverability confirmed.
• QA Touch full-suite tests built and running (with daily health check process).
• Documentation package (system brief, plugin inventory, changelog, deployment).
• GHL workaround for multiple orders implemented.
• Production deployment after QA Touch passes.



Acceptance Criteria
• Payments complete reliably via Stripe Elements.
• Webhooks stamp entries as paid and update CRM.
• Customer dashboard never shows backend/admin screens.
• All emails logged and delivered.
• QA Touch shows a full suite run with 100% pass.
• Daily test cycle running and documented.
• Git repo with all custom code committed and organized.
• GHL shows structured handling for multiple orders per email.



Timeline
This is a days project, not weeks.
• Expectation: 3–5 days for initial stabilization, QA setup, and documentation.
• At least one plan + one state must be stable and passing QA Touch before production deployment.



Requirements
• Proven experience with Gravity Forms + Stripe Elements.
• Hands-on experience with QA Touch.
• Experience with email deliverability/logging.
• Familiarity with GHL API/workflows.
• Strong documentation skills.
