Core Outcomes:
Staff can collect attendance offline on mobile devices
The same participant is recognized week after week
Data syncs reliably to Salesforce
Salesforce shows accurate attendance history and trends
The system can be operated by non-developers
The solution must:
Use Jotform Mobile Forms for offline collection
Use Salesforce native integration (no custom APIs)
Use External ID–based upsert logic
Use a unique Participant ID for longitudinal matching
Avoid custom middleware unless explicitly approved

Depend on live internet during data collection
Require custom mobile apps
Create long-term vendor or developer lock-in
Scope of Responsibilities:
Data Model Design (Salesforce)

Identity & Matching Strategy: Implement a Participant ID–based identity strategy
Configure Salesforce to:
Create or update participant records via External ID
Prevent duplicate participant creation
Ensure identity resolution works offline-first
Deliverable
Written explanation of identity logic
Test cases showing correct upsert behavior
Jotform Configuration
Build mobile-friendly attendance forms
Enable offline functionality
Ensure:
Required fields
Simple staff workflow
Error-resistant data entry
Deliverable
Final Jotform form(s)
Offline test confirmation
Jotform → Salesforce Integration: Configure native Jotform–Salesforce integration
Map fields correctly to:
Participant records
Attendance records
Configure upsert behavior using External IDs
Explicit boundary
No custom APIs
No middleware
No Zapier unless approved
Deliverable
Working integration
Field mapping documentation
Offline & Sync Testing
Test:
Multiple offline submissions
Delayed sync
Duplicate ID attempts
Partial sync failures
Document recovery procedures
Deliverable
Test log
Known limitations list
Recovery checklist
Salesforce Reporting & Dashboards
Create core reports:
Attendance by participant
Attendance over time
Program/location summaries
Build at least one operational dashboard
Deliverable
Live dashboard
Editable reports
Documentation & Handoff

Weekly staff workflow
Adding new participants
Common errors and fixes
Ensure system can be run without a developer
Deliverable
1–3 page operating guide
Admin checklist
Explicit Out-of-Scope Items (barriers)
The following are out of scope unless explicitly approved:
Custom mobile app development
Custom middleware or servers
AI-based identity matching
Real-time Salesforce queries during offline use
Complex deduplication beyond External ID logic
Custom UI development inside Salesforce
Skill Profile Required
This role requires:
Salesforce Administrator skills
Salesforce data modeling
Jotform advanced configuration
Integration configuration (not coding)
This role does not require:
Full-stack development
Backend API engineering
Mobile app development
DevOps or cloud infrastructure
Time & Effort Expectations
Expected effort for this role:
Core system build: 30–60 hours
Reporting & dashboards: 30–45 hours
Any estimate exceeding this range must include a written justification explaining why native tools are insufficient.
Success Criteria
The project is complete when:
Offline attendance works across multiple weeks
No duplicate participants are created
Salesforce reports reflect accurate longitudinal data
A non-technical user can operate the system independently
