Wix Booking System Setup
Budget: £250 – £750 GBP
I’m looking for a Wix specialist to set up a booking system on my existing website (tracyfostertherapy.com). The site is already live, but Wix Bookings has not yet been installed.
This is for a private therapy practice, so the system needs to be simple, calm, and easy for clients to use, while reducing admin for me.
## 1. Platform & Integration
- Install and configure Wix Bookings
- Integrate with my Google Calendar (Gmail account)
- Ensure real-time synchronisation
- Prevent double bookings
- Allow me to easily adjust availability and block out time
## 2. Booking Access Structure
- A 15-minute initial consultation (free) must be publicly visible and bookable
- All other services (individual therapy, couples therapy, supervision, EMDR) must be hidden and only accessible via a private booking link provided to existing clients
- These services should not be accessible through normal website navigation
## 3. Services
- 15-minute Initial Therapy Chat (free – public)
- 50-minute Individual Therapy
- 50-minute Couples Therapy
- 50-minute Clinical Supervision
- 50-minute EMDR sessions
All sessions:
- Start on the hour
- Duration: 50 minutes
## 4. Pricing Structure
Individual Therapy:
- £80 → sessions starting between 9:00am–2:00pm
- £90 → sessions starting at 3:00pm or 4:00pm
- £100 → sessions starting at 5:00pm onwards
Couples Therapy:
- +£30 per session
Pricing must update automatically based on:
- Time of day
- Session type
## 5. Availability
- Working days: Monday, Tuesday, Wednesday
- Approx. 5 hours per day
- Sessions start on the hour
Requirements:
- I must be able to adjust working hours myself
- Ability to block out time
## 6. Initial Consultation (Public Booking Page)
- Available for self-funding clients only
- Include a required question:
- “How will you be funding your sessions?”
- Self-funding
- Insurance
- Include a required confirmation:
- “I confirm that I am booking this initial consultation as a self-funding client.”
- Include clear wording:
- Insurance clients should not book this and should contact me directly
- Include some bullet point questions for reflection, i have these written.
- Include a visible link to download/view the therapy agreement for individuals or couples
## 7. Private Booking Page (Existing Clients Only)
- Clean, simple booking interface
- Clients can:
- Select session type
- Choose online or in-person
- Select time and date
- Include required checkbox:
- “I confirm that I have read, understood, and agree to the terms of the therapy agreement.”
- For couples sessions:
- Include confirmation that both parties will attend and have agreed to the couples contract
## 8. Payment Options
Integrate Stripe for online payments.
Clients must be able to choose:
- Pay online at the time of booking
- Pay in person at session (cash)
- Payment arranged separately (insurance clients only)
## 9. Online Sessions
- Include a fixed Google Meet link in booking confirmations
- For EMDR sessions, include note that a Bilateral Base link will be sent separately
## 10. Appointment Reminders
- Set up one automatic email reminder
- Reminder to be sent 24 hours before the session
Reminder should include:
- Date and time
- Session format
- Online link (if applicable)
## 11. Cancellations & Payments
- Clients can cancel or reschedule up to 48 hours before the session
- Cancellation/rescheduling should not be available within 48 hours
- Clients must contact me directly if within this period
## 12. Payment & Refund Handling
- For online payments:
- If cancelled more than 48 hours in advance, no automatic refund
- Payment can be used toward a rebooked session or refunded manually if required
- System must not automatically trigger refunds
## 13. Waiting List
- Simple waiting list form including:
- Name
- Email
- Optional phone number
- Preferred days (Mon/Tue/Wed)
- Preferred times of day
- Flexibility (low / some / high)
- Submissions sent to me via email
- No automation required
## 14. Booking Rules
- No same-day bookings
- Clients can book up to approximately 6 weeks in advance
## 15. User Experience
- Calm, clean, and professional
- Mobile-friendly
- Minimal fields
- Not overly corporate or complex
## 16. Important Technical Requirement
This should be achievable using Wix Bookings and standard Wix functionality. I would prefer to avoid custom code unless absolutely necessary.

- Estimated timeline
- Whether this can be completed fully within Wix (without custom coding)
