Graphic Design Brief
Capital Athletics Open & Under 20 Championships – Event Program

Project Overview
Capital Athletics is producing a digital event program booklet for the Capital Athletics Open & Under 20 Championships. The program will be distributed digitally to athletes, coaches, officials and spectators attending the event and accessed primarily on mobile devices, tablets and laptops.

The document may also be printed by individuals on an as-needed basis, but it is not intended for professional or commercial print production.

The program is intended to be informative, easy to navigate and visually clean, supporting both first-time attendees and experienced athletes across a multi-day championship.

Target Audience
• Competing athletes (Open and Under 20)
• Coaches and team staff
• Officials and volunteers
• Spectators, families and supporters attending the event

The design should balance clarity, professionalism and accessibility, while remaining approachable and easy to scan.

Scope and Content Status
The written content for the program is well advanced, however it is still being finalised and will continue to develop over the coming days.

Key points to note:
• Additional content will be provided progressively over the next 24–48 hours
• Some key schedule elements will be dropped in Tuesday–Wednesday next week
• The overall structure may evolve slightly as content is finalised
• The design should function as a flexible, expandable template, allowing sections to be added, reordered or expanded without disrupting the overall look and flow

This project will require a layout that is adaptable and can accommodate late-stage content changes cleanly.

Deliverables
• A designed digital booklet (PDF) formatted as an A4 booklet
• An editable working file (InDesign, Figma or equivalent) that Capital Athletics can reuse and adapt for future events
• A layout approach that supports ongoing updates, section expansion and future replication

The document is digital-first. While it may be printed by individuals for personal use, design decisions should prioritise on-screen readability, with sensible margins and layout that allow for basic home or office printing where required.

Design Direction
• Clean, modern and professional
• Optimised for on-screen reading
• Clear hierarchy and navigation
• Suitable for multi-day event information
• Not overly promotional or cluttered

The design must align closely with Capital Athletics’ brand guidelines, which have been provided.

We can supply:
• Logos and brand assets
• A selection of event and athletics imagery

At this stage, we do not have a finished digital example of a previous program, so the designer is encouraged to interpret the brief within the brand framework and content structure provided.

Timeline (Tight Turnaround)
This project is time-sensitive and aligned to event delivery.

• Initial draft design by Wednesday evening, 16 January
• Review and refinement 17–20 January
• Final version by Tuesday, 21 January

Minor updates may occur right up until final delivery.

Key Considerations
• Digital-first design
• A4 booklet format
• Flexible and expandable structure
• Editable and reusable as a future template
• Strong alignment with brand guidelines

Next Steps
Upon engagement, Capital Athletics will:
• Provide the most current version of written content
• Supply brand guidelines and initial imagery
• Clearly flag any sections still subject to change or awaiting final data
