Pre-Opening Project Coordinator for Glamping Resort + Race Track Startup

I am developing a campground / glamping resort with a race track and motorsport experience component.

The property has not been acquired yet, but we expect to acquire it in approximately 45 days. I want to use this planning period to get everything organized so that once the property is acquired, we can move quickly.

I am looking for a highly organized Pre-Opening Project Coordinator to help prepare the launch.

This is not a basic virtual assistant role. I need someone who can research suppliers, call vendors, get pricing, organize quotes, compare options, coordinate other freelancers, and turn a large project into a clear execution plan.

You will help organize planning for:

- glamping stays, seacans, tents, cabins, furniture, bathrooms, showers, communal areas, and site materials,
- race track planning, kart builders, customization vendors, timing systems, safety gear, and related suppliers
- website, booking system, SEO, social media, influencer marketing, and marketing company research
- laborers, contractors, freelancers, and local service providers

You do not need to personally be a marketing expert, construction expert, or motorsport expert. Your job is to help find the right companies/people, get pricing, organize the options, and keep the project moving.

Main Responsibilities
Research and contact suppliers
Call vendors and request written quotes
Build organized comparison sheets
Track pricing, lead times, deposits, delivery requirements, and pros/cons
Research marketing companies, website companies, SEO companies, and social media/influencer support
Help organize freelancers and outside specialists
Create a master budget and vendor tracker
Keep follow-ups organized and make sure nothing gets lost

Ideal Candidate

Hours & Pay

Budget: $25–$40/hour, depending on experience.

The higher range is for someone with strong project coordination, construction, procurement, or hospitality experience. Someone that can get the job done.
