QuickBase Database Enhancement
Budget: $30 – $250 USD
I'm helping my wife with her physical therapy business. She recently switched to a cash setup, meaning that she does not work with insurance companies. As a result, she had to give up a lot of patients. We plan to reach out to doctors within a 30 mile radius of her office via a mailing (post cards), and as such have purchased a list with 427 doctors.
I created a Builder Program (free) account with QuickBooks, and have set it up with their "Doctor Referral Tracker". I've imported the data, and now would like to hire someone to go through it and organize it in a way that will be useful for us.
As an example, it shows individual doctors, and sometimes shows what group practice/hospital/company (let’s call them clinics) they are with. I'd like to be able tweak each doctor's file to show what clinics they are affiliated with. In some cases they will be affiliated with more than one. This would involve visiting clinic websites and viewing the doctors that currently work there, and comparing that to what’s in the database, editing the ones that are in there, and adding ones that are missing. As an example, you can see at https://www.newh-obgyn.com, there are nine OB/Gyn doctors listed, but our database has six, and one that doesn’t seem to work there who should be removed. That office also has two “WHNP’s” (women’s health nurse practitioner) who should be added.
Another thing I’d like to tweak is how the columns are arranged, in that I’d like to see the clinic on the left side instead of having to scroll to the right.
We use Jane (https://jane.app) for practice management, and intend to keep all patient records there due to HIPAA rules. But would like to update the QuickBooks database occasionally to show patient referrals, and only using the patients account number, not their name. That way, we can see in the database who is giving us the most referrals.
When done, we would like to download a mailing list that would include: Name (first and last with MD or whatever suffix they use), Clinic Name, Street Address, City, State, Zip+4.
