TrueNAS Backup & Indexing Setup

I have a TrueNAS server ready and need it configured end-to-end. The priority is safeguarding my multimedia files—especially a growing library of videos—through reliable, automatic backups. Here is the scope I’d like you to cover:
• Automatic, scheduled backups from all key sources: several computers, mobile devices, and a couple of external hard drives.
• Local backup rotation that keeps recent versions on the TrueNAS pool and archives older snapshots efficiently.
• Secure port-forwarding so I can reach the TrueNAS dashboard and shared datasets remotely without exposing unnecessary services.
• Full indexing of every stored file in the TrueNAS database so I can search and retrieve clips quickly; if third-party plug-ins (e.g., TrueNAS Catalog, Elasticsearch, or similar) streamline this, I’m open to your recommendation.
• Clear documentation of the configuration steps, cron or replication tasks, datasets created, and firewall rules applied, so I can maintain or expand the setup later.
