Maintenance Scope for the IBM Content Manager-Based EDM Solution
The maintenance concerns the Electronic Document Management (EDM/GED) solution installed around IBM Content Manager.
The currently installed licenses cover:
IBM Content Manager Software – Version 8.4.1
DB2 Database Management System
Document Scanning & Acquisition Module – 20 licenses
Electronic Document Management and Archiving Module – 10 licenses
ARTICLE 24: SCOPE OF SERVICES
The purpose of this maintenance service is to ensure the continuity, reliability, and performance of the Electronic Document Management system based on IBM Content Manager.
The scope of maintenance covers all software components of the system, including functional modules, databases, scripts and automated processes, as well as interfaces integrated within the contractual scope.
The Contractor undertakes to:
Ensure the operational continuity of the system, in accordance with the defined technical and functional requirements;
Provide all necessary human, material, and software resources required for the proper execution of the maintenance services;
Intervene either on-site or remotely, depending on the nature of the incidents and the needs of the service;
Ensure the compatibility of the system with evolving technical environments, including operating systems, browsers, security updates, and related components;
Notify the Client of any major upgrade, change, or modification that may affect the proper functioning of the system;
Submit, after each intervention, a detailed report specifying the nature of the intervention, the findings observed, the actions carried out, and the recommendations issued.
Interventions on third-party components or software not covered by the contract are excluded from this maintenance service, unless specifically agreed and jointly validated by both parties.
ARTICLE 25: NATURE OF THE MAINTENANCE SERVICES
The maintenance services covered by this contract include all technical services required to ensure the proper functioning, security, and evolution of the Electronic Document Management system based on IBM Content Manager.
The maintenance includes the following three types:
1. Preventive Maintenance
Preventive maintenance aims to anticipate potential failures and incidents through periodic audits, checks, and system verifications.
Each preventive intervention shall result in a detailed follow-up report outlining the findings and recommendations.
2. Corrective Maintenance
Corrective maintenance consists of identifying and correcting, within the shortest possible timeframe, any malfunction, anomaly, or bug affecting the normal operation of the system.
The Contractor shall implement all necessary actions to restore the service within the agreed contractual deadlines.
3. Evolutionary Maintenance
Evolutionary maintenance covers:
Functional, technical, or regulatory improvements to the system, intended to support the evolution of business needs or applicable legal requirements;
Assistance to the teams for the daily operation of the system, including support for configuration, explanation of new features, and assistance in resolving difficulties not related to anomalies or bugs.
Any major evolution or assistance request shall be subject to prior validation by the technical team in order to define the scope, resources, and means required for its implementation.
