Database Management Virtual Assistant
Budget: £10 – £15 GBP
I run a small events-and-operations team and I’m looking for a reliable virtual assistant who can take full ownership of our data entry backlog. The work is strictly database management: migrating contact lists from spreadsheets, cleaning and de-duplicating existing records, tagging entries with the correct event or client codes, and keeping our online CRM up to date so the rest of the team can plan each event without scrambling for accurate numbers.
You’ll log in to our web-based database and, using the import tools and validation rules already in place, enter or update approximately 300–400 records a week. Consistent formatting, zero duplicates, and correctly linked relational fields are essential; I’ll spot-check your first batch to confirm everything lines up before we move on to a recurring schedule.
I currently export raw data from ticketing platforms into CSV, so you should be comfortable transforming those files and then uploading them into the system (Airtable and occasionally HubSpot). If you prefer to stage the data in Google Sheets or Excel first, that’s fine—as long as the final destination is updated and a short change log is sent to me at the end of each session.
Deliverables
• Weekly import of new contacts with all required fields populated
• Cleanup of legacy records (deduplication, correct tags) by the end of month one
• A brief weekly summary noting record counts added, updated, or flagged for review
I’ll provide a loom walkthrough, database credentials, and a style guide of field conventions on day one. Accuracy and attention to detail will matter more than speed; if you’ve kept CRMs or membership databases spotless before, you’ll fit right in.
