Comprehensive Document Management System

Job ID: 39599412

Budget: $1,500 – $3,000 AUD

Building a next-generation platform for document and workflow management, targeting complex industries like construction, infrastructure, and government. This project will form the foundation of a scalable SaaS product that emphasizes data ownership, flexible deployments, and AI-driven automation in the future.

Scope of Work (Phase 1 – MVP Build):

You will be building core backend components of a modular, scalable document and workflow system, including:

Key Features:
• Document Register
• Store, retrieve, approve, and markup documents.
• Track metadata, comments, and version history.
• Handle complex formats: PDFs, DWGs, IFCs, RVTs, XLSX, etc.
• Implement revision/version control logic.
• Workflow Engine
• Create workflows to manage document lifecycles and approvals.
• Integrate granular RBAC (role-based access control) and group permissions.
• Enable comment management and status progression via backend.
• Digital Form Manager
• Design dynamic form templates with user-defined fields, statuses, triggers.
• Allow forms to link to documents, and forms to other forms (relational schema).
• Store structured data for search and automation later.
• Infrastructure Setup
• Modular backend that supports on-premise, shared cloud, or localized cloud deployments (configurable per client/project).
• Codebase should be easy to expand for AI integrations and multi-tenancy.

Ideal Skills & Experience
• Strong backend experience (Node.js, Express, MongoDB; MERN preferred).
• Proven experience building document management systems or form engines.
• Familiar with microservices and secure APIs.
• Experience with version control patterns, audit trails, and RBAC.
• Ability to structure clean code with separation of concerns for future growth.
• Experience handling diverse file formats (PDFs, DWGs, IFCs, etc.).
• Bonus: Familiarity with GCP deployments or modular cloud/on-prem architecture.

Deliverables will be managed via GitHub. I will provide:
• Detailed API specs & schema references
• Sample forms, document types, and workflows
• Access to feedback loop and vision documents

Looking to work with someone who builds clean, expandable code, communicates clearly, and is comfortable with async collaboration.

Familiarity with AEC industry standards and open-source tools (e.g. IFC, bSDD, openBIM) is highly valued. Experience with construction-specific data structures or common data environments (CDEs) will be considered a strong advantage. Approximately 40–60% of the platform will be open source to enable flexible integration with third-party systems and to support industry collaboration.

There will be repeat work if the relationship is strong — this is just the beginning of a bigger system.-

Please provide examples of similar work done and your approach to ensure security and efficiency in document management.
