NHBCOS Member Roster

Job ID: 31206250

Budget: $25 – $50 USD

New Horizons Band of Colorado Springs (NHBCOS) is a local community band consisting of approximately 170 members, average age 70. We have several ensembles that gather for 3 sessions each year, Spring, Summer and Fall. We charge tuition for musicians playing in each ensemble to pay the conductors, rent, insurance, music costs, etc. One member may belong to multiple ensembles once they have registered and paid the tuition for each.

We use two Microsoft Access databases for tracking and reporting information about our current and former members, bands, contributors, tuition and much more. NHB_Roster is the main database with all menus, and high-level functions. NHB_Roster_be is the databases with the dynamic data related to member information, ensemble/group/band, instrument, etc. The databases were created and maintained by a member until his unexpected death on July 21st. We need immediate assistance to correct the Tuition report which is showing duplicate entries for some members in some ensembles, and no entries for some members in other ensembles. The Tuition report should be picking up only those members who have tuition listed in their account, but it is pulling those who have not registered nor paid.

We would also like to know about the relevance of the Inactive and Previous Member categories. They both seem to do the same thing. If you select “Email list for a single band” and select either inactive or previous member, it shows that there are no email addresses for that “band” even though email addresses are in the account. How are these categories used?

The Executive Assistant for our organization is the person who is most familiar with these problems and the use of Microsoft Access. That person is: Suellen Hill. Suellen will be the primary contact for this request.

This request is being submitted by Dennis Atkinson, President of the Board for NHBCOS and most technically familiar with Microsoft Access and how these databases are used for our organization. I will be the alternate contact for this request.
