Our expedition operations have out-grown scattered Excel sheets, email threads and ad-hoc trackers. I now need a single, fully structured database platform that captures every helicopter and submersible permission, operational approval, voyage plan, authority contact, document asset, workflow step and compliance milestone in one place, all driven by a shared calendar.

Core scope
• Design a relational schema that links aircraft and sub assets, voyages, permits, crew, authorities and supporting documents.
• Build a web-based interface—desktop first, responsive for field tablets—that lets users create, update and search records quickly.
• Implement moderate role-based access (admin, manager, user) so day-to-day staff can work without touching configuration screens while leadership retains full control.
• Provide permission workflows that branch for helicopter, submersible or combined operations, automatically flagging expiry dates and incomplete prerequisites.
• Integrate a calendar view that overlays voyages, maintenance windows and permit validity to expose conflicts at a glance.
• Enable secure document storage with version history and audit trail.
• Deliver straightforward reporting/export tools so compliance packs can still travel offline.

Acceptance criteria
1. All key entities above link without orphan data or duplicate entry.
2. Role testing proves managers cannot alter system settings and regular users cannot delete locked records.
3. Calendar detects and highlights any permit or approval due to expire within a configurable period.
4. System runs smoothly in a standard cloud stack (PostgreSQL/MySQL + Node/Python/.NET, or similar) with clear deployment instructions.
