Vehicle Rental and Sales Database Development

Hi there,
I’m looking for help building a more advanced database to manage my vehicle rental and sales business. I run a company in the Exeter called First Flexi Lease, and we lease and sell cars and vans – mainly to tradespeople and small businesses.
I’d like the system to include two main parts, or 2 separate databases. I’m not familiar with what else databases can do and I open to suggestions that help. We use Xero for accountancy and HubSpot as a CRM. It’s not essential they work together, infact I didn’t consider it a possibility until Freelancer just asked me the question, this would be useful but not essential.

1. Rental Fleet Tracker
A database to manage the vehicles we currently have out on rent, with:
• Vehicle details
• Assigned customer (current and past)
• Mileage tracking
• Maintenance logs
• Lease start/end dates
• Notes/reminders for servicing or returns

2. Sales Stock Management
A separate database to manage vehicles we have in stock for sale, including:
• Vehicle details
• Cost price and sale price
• Assigned salesperson
• Ability to mark as “sold” and move to a sold list
• Prompt for:
• Customer name
• Any accessories or extras to be added
• Delivery date
• Highlight vehicles with upcoming delivery dates (to ensure we’ve invoiced and the customer has paid)

I’d like this to be easy for my sales team to use – ideally with dropdowns or templates where possible. Let me know if this is something you can build or if you need more detail.
