Access Financial Database Optimization

I have been running my numbers in spreadsheets for far too long and now need a properly structured Microsoft Access solution. The goal is to design and optimise a database whose sole focus is managing financial data—specifically our invoices and billing records.

Here is what I need from you:

• A relational schema that keeps the tables normalised, eliminates duplicate data, and supports growth.
• Intuitive forms for entering new invoices, applying payments, and updating client details without exposing raw tables.
• Parameter-driven queries and summary reports that let me filter by client, date range, paid / outstanding status, and export cleanly to Excel or PDF.
• Thoughtful use of indexes, validation rules, and VBA where necessary so the system stays fast and accurate even as the transaction count rises.
• Step-by-step hand-off documentation so I can maintain routine tasks myself.

I am already on Microsoft 365, so please build with the most recent Access version in mind and keep compatibility with future updates. If you’ve previously migrated messy spreadsheets into streamlined Access back-ends, your experience will be invaluable here.

The project is complete when the database runs error-free, populates with a small sample data set I will supply, and all reports match my test scenarios for totals and outstanding balances.
