3 simple data bases for law office

We need a simple data base for our title company to keep track of what is called back title. "Back title" is simply the notes of the real estate title examiner for real estate transactions. Right now we are paying a title examiner to research properties that we have already searched in the past. We will have pages of notes and perhaps a title commitment or policy which can all be scanned and filed together and stored somewhere. We do about 400 transactions per year. There are usually not more than about 20 pages per back title search. The data base needs to allow us to search for the back title by mailing address of the property and by what is called permanent parcel numbers. One mailing address can have up to say 7 permanent parcel numbers. Also - a seller can be selling more than one property at a time with different mailing addresses. We will also want to index the back title by the name of the Sellers and the Buyers. There can be multiple Buyers and Sellers (never more than say 6 Sellers and 6 Buyers). Sometimes the Seller or the Buyer is a corporation or other entity. We would want the data base to assign a unique number to each entry - say the year of the search and then put a numerical number (for example 2024-1). That will be the number that we assign to the scanned documents. I would also like to request a really easier user interface where - you press enter and then something comes up and says enter the property address. Then you hit okay and it says now enter the parcel number or numbers.....etc....Obviously what we want to find out is if we searched that property before and if so then what is the file number so we can locate the old title notes (back title).
The second data base is much easier, I hope. I need to input the address of limited liability companies in my county. We will not have any owner names - just the name of the company and its address. I then want to be able to use that data base to print out labels for mailing postcards. Can you make a simple interface like I described above for the input of the data. We do not need to assign any file numbers fort his data base.
The third data base is for a municipal nuisance abatement company. We are going to send questionnaires to the Villages and Townships on the attached list. I would like each village listed and each township listed as well as the county name. I want to be able to pull up data for just villages and for just townships. We will need to put in the address of the entity. We will need to put down the name of the contact person and title and phone number and email address of such person. We could have multiple contacts for each such entity. We need to know if a particular entity responded to our FOI request and when. We need to know if the entity requested a report of our findings along with the email address where they want that report sent. We also need to know the responses of each entity to our FOI request. I will separately attach a copy of what we are sending out. Ultimately, I hope to take the data and create a report. We will also need to know the date of any follow up with the entity if there has been no response and the nature of that follow up (letter, phone call, email, fax). I have the list of Villages and Townships organized by county. I have attached the questionnaire. This does not need a fancy interface. It will be used one time.
