“Archival Diversity Audit” Excel Workbook Template Project Scope

Deliverables:

Custom Excel workbook (compatible with Office365) titled “Archival Diversity Audit Template”

Up to 30 minutes total consultation meeting by video chat (Zoom link provided) on one or two days to review changes and answer questions about project.



Purpose:

To develop an evaluation tool template (“Archival Diversity Audit”) for archivists that includes the below questions with a built-in scoring mechanism.



Required Features (“user” and “archivist” mean the same thing below):

-Multi-part/sheet workbook template with easy-to-use data input UI

-Scoring mechanisms in spreadsheet based on user responses that calculate two running totals on a separate sheet (i.e., totals for “Part 1” and “Part 2”)

-Flexible template flow dependent on user responses (i.e., includes display logic)

-Custom, user-friendly design

-Easy interface for integrating unique archival collection data when different archivists use the tool

-Randomization of this archival collection data to generate a sample

-Built-in sample-size generator based on archival collection data with several options for user in terms of confidence rate and margin of error (requires variable statistical sampling formulas to be built into the spreadsheet)

-Automatic sample generation based on above, prepopulated to a section/sheet of the template after inputs by archivist

-Easy to read scoring totals based on user responses



Timeline:

Development and testing 2025 June 16-21

Beta prototype delivery by 2025 June 22

Corrections and edits 2025 June 22-25

Final template delivery 2025 June 26



Required Qualifications:

-Demonstrated experience creating Excel solutions for clients that include custom programming (compatible with Office 365) and user interfaces for data entry

-Excellent communication skills

-Demonstrated ability to translate client’s specifications into workable solution

-Creativity and flexibility in considering alternative solutions to meet client specifications

-Deadline-oriented

-Fluent in English

-Experience or education in applied statistical sampling, and/or sufficient math background to integrate statistical sampling equations into Excel



Preferred Qualifications:

-Interest in archives or experience conducting archival research

-Understanding of Diversity, Equity, Inclusion, and Accessibility principles and practices



Special information:

This workbook is being developed for a larger research project related to archives and archival practice. You will be recognized as a paid contributor to the research project in the research article. I selected Excel as the software for this tool because it is widely used and easily available to archivists. If my study is accepted for publication, this Excel template will be freely available to any archivist worldwide who wishes to use it. I considered more sophisticated approaches and other software tools for the project but do not have the budget to develop or maintain something more complex.
