Objective
Design and implement a scalable, automated solution to replace our current manual monthly reporting workflow for B2B clients using data from the Saascharge EV charging management platform. The solution must automate data processing, reporting, secure client access, and financial invoicing to significantly reduce manual effort and operational risk.
Current State
Monthly CSV files are manually downloaded from the Saascharge platform.
Selective data is manually extracted and transferred into client-specific Excel report templates.
Each client maintains a separate Excel workbook.
Invoicing (RCTIs) is manually created in Xero using report data.
Proposed Scope of Work
1. Automated Data Ingestion & Processing
Automatically import monthly CSV data from Saascharge (manual upload or API-based if available).
Validate, clean, and standardise data for downstream processing.
2. Automated Report Generation (Bulk)
Generate reports in bulk for B2B clients.
Each client retains a single Excel file.
A new monthly worksheet is appended automatically, preserving historical data.
Reports must follow existing Excel templates and formatting rules.
3. Client Portal (Secure Access)
Develop a secure, role-based client portal.
Clients can:
View and download monthly and historical reports
Access related documentation (agreements, invoices, etc.)
Data isolation per client is mandatory.
4. Xero Integration (RCTI Automation)
Extract financial data from monthly reports.
Automatically generate Recipient Created Tax Invoices (RCTIs) in Xero for each client.
Ensure compliance with Australian accounting and tax requirements.
