Overview

We are hiring a detail-oriented and reliable Outbound Operations & Client Support Virtual Assistant to support our outbound marketing systems and client operations.

In this role, you will assist with outbound tools such as Instantly.ai, Clay.com, Heyreach, Apollo, and scraping tools, while also helping maintain trackers, organizing data, and supporting clients with operational and tool-related questions.

You must have excellent written English and strong hands-on experience with Instantly.ai.

This is a long-term position with consistent work.

Required Tools Experience (Mandatory)

You MUST have hands-on experience with:
• Instantly.ai (very important)
• Clay.com
• Heyreach.io
• Apollo.io
• LinkedIn outbound workflows
• Apify scrapers or similar scraping tools

Applications without Instantly.ai experience will not be considered.

Core Responsibilities

1. Instantly.ai Campaign Operations
• Monitor Instantly.ai campaigns
• Ensure campaigns are active and sending properly
• Upload and manage lead lists
• Check campaign status and sending activity
• Identify and report operational issues

2. Clay.com Operational Support
• Run enrichment workflows
• Fix enrichment columns not populating
• Run Clay tables and workflows
• Support lead sourcing workflows
• Ensure enrichment data is populated correctly

3. Outbound Tool Support (Instantly, Clay, Heyreach, Apollo)
• Assist with operational questions related to outbound tools
• Help troubleshoot basic tool issues
• Ensure leads and campaigns are set up correctly
• Maintain outbound system organization

4. Lead List and Data Management
• Manage lead lists from Clay, Apollo, and scraping tools
• Run Apify scrapers when needed
• Ensure lead lists are properly formatted
• Upload leads into outbound platforms

5. Client Tracker Updates
• Update client trackers
• Log campaign launches and progress
• Maintain accurate client records

6. Document and System Organization
• Maintain organized client folders
• Organize scripts and system documents
• Ensure outbound system records are accurate and accessible

7. Procedural Client Support
• Respond to client questions related to tools and processes
• Help clients navigate outbound systems
• Escalate technical or strategic issues when needed

Requirements

Mandatory:
• Excellent written English
• Strong experience with Instantly.ai
• Experience with Clay.com
• Experience with Heyreach.io
• Experience with Apollo.io
• Experience with scraping tools (Apify or similar)
• Strong attention to detail
• Highly organized
• Reliable and responsive

Preferred:
• Experience working with outbound agencies
• Experience supporting outbound campaigns

Starting:
• 2 hours per day (to transition into 5-6 hours per day very soon)
• 5-6 days per week
• Long-term position
