Virtual Administration Assistant
We are an innovative and process-driven professional services firm looking for administrative assistants to urgently assist with the completion of critically important overdue projects.
General Responsibilities
• Document preparation and formatting based on instructions provided by the management
• Organising documents and maintaining records
• Undertaking extensive data entry work and regularly updating existing digital records
• Assisting the executive team in dealing with all administrative matters generally
• Calendar management for the executive team
• Following up with the staff regarding progress updates for their assignments
• Responding to emails and document requests on behalf of the management
• Drafting marketing material for the firm in accordance with the firm’s marketing campaigns
• Assisting the executive team in meeting the firm’s recruitment requirements
• Assisting the executive team in achieving effective supervision over the work of the firm’s employees
Project Scope
We are currently recruiting to hire administrative assistants for a large, overdue project which involves the provision of paralegal services to a law firm in connection with a few litigation cases that are currently in court.
The project entails:
• The completion of critical documents, including transcripts and documents comprising the court file
• The generation of executive summaries, timelines and other documents necessary for the concise representation of key metrics to the management
• Legal research in accordance with the instructions provided by the management
Desired Qualifications
• Bachelor's degree or equivalent experience
• 3-4 years’ graduate (or equivalent) work experience
• Technology savvy
• Working knowledge of popular customer relationship management and accounting software would be useful but not essential
• Well-organised, detail-oriented, ability to multi-task with great follow-up skills
• Strong written and verbal communication skills
• Resilience, adaptability and meticulousness
• Experience in managing multiple priorities, administrative coordination, and logistics
• Strong commercial/business acumen
• Drive to build a career as an administrator
