Retrieval and Organization of Canadian Government Forms

Job ID: 37130593

Budget: $100 – $500 USD

We are seeking an organized and detail-oriented freelancer to assist us in a comprehensive data collection and validation project. The fundamental goal of this project is to identify all forms used by the federal and provincial governments of Canada where there is a field for the citizen's Social Insurance Number (SIN). This includes any form where it could be possible for the SIN to be present once the form is completed by the citizen.

The project entails the following responsibilities:

Form Retrieval: Your task involves conducting thorough research across various federal, provincial, and territorial government organizations in Canada. This includes visiting websites like Service Canada and others to identify potential forms. Your primary objective is to download specific forms that contain a Social Insurance Number (SIN) field. In addition, if you encounter forms containing other sensitive information such as Health Identification Numbers, Driver's License details, or Passport numbers, these should also be downloaded.

To aid your search, we will provide a Google Sheet that lists typical forms that could contain a SIN. However, this list is not exhaustive or accurate, and you are expected to identify and download all relevant forms not included in the list.

Your research should cover the federal government, all 10 provinces, and the 3 territories of Canada. Here's a comprehensive list of all provinces and territories:

Provinces:
- Alberta
- British Columbia
- Manitoba
- New Brunswick
- Newfoundland and Labrador
- Nova Scotia
- Ontario
- Prince Edward Island
- Quebec (french)
- Saskatchewan

Territories:
- Northwest Territories
- Nunavut
- Yukon

We anticipate this task will require extensive online research and a meticulous approach to ensure all relevant forms are captured.

2. Form Validation: Your crucial task is to confirm that each form contains a field for the Social Insurance Number (SIN) that would typically be filled out by the citizen. This step is key to our later analysis of these forms.

3. Test Data Insertion: If a form has multiple SIN fields, each field should be filled with a unique fictitious number. Use the following numbers: "699141008", "691126866", "684711856", "603879560", "261711295", and "105031421". Ensure a different number is used for each SIN field on the same form.

4. File Naming and Organization: Each downloaded file should be renamed with a prefix indicating the specific province (e.g., Alberta_FormName). If the form pertains to the federal level, please prefix it accordingly (e.g., Federal_FormName). Otherwise, the original form name should remain intact from the download.

5. List Updating / Unlisted Files: You must update the Google Sheet accordingly with the forms discovered to contain SIN fields.

6. File Storage and Linking: Upload the renamed files to a Google Drive, organized into folders representing each province or the federal level. Once uploaded, create a hyperlink for each file in the supplied Google Sheet.

At the end of this project, we should have a copy of all governmental forms containing fictitious SINs, and a Google Sheet listing all governmental forms, along with hyperlinks to the actual forms organized in Google Drive.

Example government portal to search forms:
- Federal https://catalogue.servicecanada.gc.ca/content/EForms/en/List.html
- Quebec government https://www.revenuquebec.ca/en/online-services/forms-and-publications/#!/filter?categories=3156

Numerous forms are accessible on government websites. However, for this project, it's crucial to concentrate specifically on those forms that pertain to individual citizens, as these are most likely to contain Social Insurance Number (SIN) fields.

Expectations: This project is urgent and we expect an immediate start and results. Do not bid unless you can deliver on this project rapidly.
