We are launching a challenge to crowdsource the best automation solution for a recurring problem: manual data entry into FreshBooks.
Every month, we spend too much time manually inputting:
• Invoices (scanned or emailed)
• Expense Receipts (scanned)
• Bank Statements (PDF/CSV) from our several offices (one of them in China, including currency conversion entries (some of which is in Chinese)
We believe this can be automated – but we are open to creative and efficient solutions from experts like you.
Challenge Objective:
Propose a creative solution architecture that automates:
1. Data extraction from invoices, receipts, and bank statements (PDF, CSV, scanned documents).
2. Automated data entry into FreshBooks.
3. Currency conversion handling for multi-currency transactions.
4. Centralized data consolidation into Google Sheets:
o The automation should connect to one or several master Google Sheets to store and organize all extracted financial data.
o These sheets will serve as the central reference point for reports and audits.
5. (Optional Bonus): Error handling, manual review options, and smart categorization.
What You Should Submit:
• A high-level solution architecture (flowchart or diagram is a plus).
• Tools and technologies you would use (APIs, OCR, automation platforms, custom scripts, etc.).
• Step-by-step description of the workflow.
• Estimated development time & maintenance effort.
• Highlight any innovative features you propose.
• Cost-efficiency and scalability considerations.
