We’re a Virtual Events Agency and we're a lean and committed team who is working to build our agency to the next level. Our CEO is working many roles right now and needs to unload as we grow into a larger company.

We’re looking for a new Executive/Team Assistant to join our team and provide administrative and operational support for the organization and core team members.

Executive/Team Assistant:
In this role, you’ll directly support our CEO. Your main areas of focus will include internal and external communications, managing her VERY busy calendar, managing Asana (our project management tool), and setting up systems, SOPs, managing Google Drive, liaising with the team, ensuring deadlines are met, and more.

Practically speaking, you’ll be responsible for the following tasks:

Executive assistance:
Support the calendar of the CEO & team including meeting preparation, taking meeting minutes, and coordinating logistics
Sending out contracts & invoices
Manage and prioritize email communication and tasks, and the general email including coordinating responses from team members as needed
Manage general inquiries and communication
Provide support on projects, presentations, and special assignments as required
Create and manage organizational systems and processes
Light virtual event set up needs (Zoom meetings)

Personal assistance:
Schedule and manage personal appointments
Execute a variety of personal support tasks

Qualifications:
5+ years of experience working in an Executive Assistant or similar Personal Assistant role, providing support to various executives and senior leaders
Strong technical aptitude for learning new software programs to generate reports
Proficiency with MS Office suite (PowerPoint, Excel, Word, etc.) and Apple programs (Calendar, Mail), plus Asana, GDrive, Zoom, any VERY versed in Online Based Platforms and software including Wordpress, Hootsuite, etc.
Proven ability to manage multiple priorities and/or requests in a fast-paced changing environment with limited daily direction
Post-secondary degree or diploma in administration or similar (an asset)

This position will begin now, with 2 weeks of training and shadowing our CEO and/or team members. We will start with 10 hours per week and grow from there if possible.

Rate is $15-$20/hourly, and preferred applicants to be in CST and EST timezone and in North America.
