8-Unit Rental Finance Tracker
Budget: $50 – $100 USD
I own an eight-unit property and I’m looking for a streamlined spreadsheet—built in either Microsoft Excel or Google Sheets—that lets me see, at a glance, how each unit and the building as a whole are performing month by month.
Income I track today is limited to rent payments plus any miscellaneous money that comes in (think laundry revenue, parking, etc.). On the expense side I need clear buckets for maintenance costs, utilities, and the fees I pay my property manager.
The sheet has to handle both levels of detail:
• an individual tab (or clearly separated section) that shows cash-flow for each of the eight units, and
• an automatic roll-up that aggregates everything so I can view overall property performance without extra work.
Key features I’m expecting
• Simple data-entry layout with drop-downs or data-validation to avoid typos
• Built-in formulas that calculate monthly and year-to-date totals, net cash flow, and occupancy rate
• A summary dashboard that highlights income vs. expenses for the property and calls out any units falling behind on rent
• Clean, printable reports I can hand to my accountant
I don’t need complex macros; clear structure, reliable formulas, and easy maintenance are more important. When you’re done, I should be able to send the blank template to a new property manager and have them understand it without additional instructions.
